COVID-19 Protocols

The American Gem Society (AGS) is excited to see you at Conclave!

We place the health and safety of our community above all else. That’s why we’ve taken steps and implemented guidelines and policies based on current CDC guidelines to help support a safe and comfortable experience. We will continue to update you here as safety standards evolve. Please review the protocols below for more information about what you can expect at Conclave. Additional details about policies and procedures will be posted here as they are made available.

Face Coverings

The American Gem Society is following CDC guidelines. To maximize protection and prevent possibly spreading it to others, fully vaccinated and unvaccinated individuals should wear a face covering indoors in public. As such, at this time, all individuals are required to wear a face covering while attending events related to Conclave. We are monitoring CDC guidance leading up to the event.

Daily Health Screenings

To better ensure your safety, AGS is using a health screening service, which provides monitoring and screening for COVID-19 symptoms. These check-ins are to be completed daily, per our Safety Acknowledgment that all attendees will be asked to sign before attending Conclave.

Thermal Scanners

Thermal scanners are a contactless way to check your temperature. If you need further assistance, please ask one of the Safety Ambassadors that will be stationed near the networking area entrance. Look for their red safety vests.

Increased Sanitization and Hygiene

Conclave has worked closely with the Omni Oklahoma City Hotel to implement cleaning and sanitization standards that meet or exceed the recommendations of the CDC. It is the responsibility of everyone to maintain personal hygiene, including washing hands frequently. Hand sanitizing stations will be available throughout Conclave.

Breakout Session Check-in

From the Conclave module within the AGS Go app, you’ll be able to check into your breakout sessions. Each session has a unique four-digit code, which can be found on signage at the session, on the session’s details page in the app, or the Educational Sessions booklet. Using the unique four-digit code will help us track attendance should contact tracing be necessary. Check-ins can be done in the Conclave module through the “Check-in” icon or on the session’s details page.

Conclave room layouts have been modified to enable social distancing and designed to minimize potential exposure opportunities. Food and beverage service has also been modified based on COVID-19 protocols.

The American Gem Society (“AGS”) is committed to providing a safe, productive, and welcoming environment for all participants in events held or sponsored by AGS. AGS will communicate preventative measures to reduce the spread of COVID-19 in advance and during the event. However, AGS cannot guarantee that its members, volunteers, partners, or others in attendance will not be exposed or become infected with COVID-19. In light of the ongoing spread of COVID-19, individuals who fall within a high-risk category may want to refrain from attending in-person events.

FREQUENTLY ASKED QUESTIONS:

If you are unable to attend due to COVID-19, please submit your request for a refund to experience@ags.org.

Cancelation Policy
All cancelations through January 31, 2022, will be fully refundable.
All cancelations on or after February 1, 2022, will be subject to a $200 cancelation fee.
If the event is canceled by AGS, all attendees will have the option to roll their registration over to the next Conclave or request a full refund.

Proof of vaccination or negative COVID-19 tests are not currently required in order to attend Conclave. 

We are thrilled to offer a variety of hands-on classes made possible by one of our sponsors, GIA. To ensure the health and safety of our community, additional protocols will be in place for those who wish to attend a hands-on class. More information will be provided prior to Conclave 2022.

We are fully committed to creating an environment where the AGS community can come together while prioritizing health and safety. Our current health and safety guidelines include wearing face coverings, increased sanitation, hygiene, and physical distancing. We are also working closely with Omni Oklahoma City Hotel to follow their protocols. Guidelines will continue to evolve leading up to Conclave to reflect current guidance.

Yes. To ensure the maximum safety of our attendees, we are following the CDC guidelines on face coverings. We require all individuals to wear face coverings while attending events relating to Conclave. Additional details and guidelines on acceptable face coverings can be found here.
