The American Gem Society (AGS) is excited to reunite with you at Conclave!

We place the health and safety of our community above all else. That’s why we’ve taken steps and implemented guidelines and policies based on current CDC guidelines to help support a safe and comfortable experience. We will continue to update you here as safety standards evolve. Please review the protocols below for more information about what you can expect at Conclave. Additional details about policies and procedures will be posted here as they are made available.

Face Coverings

The American Gem Society is following CDC guidelines. To maximize protection from the Delta variant and prevent possibly spreading it to others, fully vaccinated and unvaccinated individuals should wear a face covering indoors in public. As such, at this time, all individuals are required to wear a face covering while attending events related to Conclave. We are monitoring CDC guidance leading up to the event.

Daily Health Screenings

To better ensure your safety, AGS is using 42Chat’s health screening texting service, which provides monitoring and screening for COVID-19 symptoms. These check-ins are to be completed daily, per our Safety Acknowledgment that all attendees were asked to sign before attending Conclave.  

  • From your mobile device, text “Hi” to 833.816.0051 to begin your health screening. 
  • 42Chat will provide a link that connects you to the health screening questions. There are three questions total. 
  • All attendees are required to complete the screening each morning before entering the Conclave area. 
  • When entering the Conclave area, you will be asked to show your green check mark on the screen. Helpful Hint: if you previously closed out of the screen, the green check mark will appear when you reopen it. 
  • If you should receive a red health warning, please stay in, or return to, your hotel room. 42Chat will guide you through the next steps. 
  • After you text the number the first time, you will get a reminder every morning to do your health screening. If, for some reason, you don’t get the reminder, simply text the number above. Helpful Hint: be sure to save 42Chat’s number, 833.816.0051, in your address book for quick reference.

Thermal Scanners

These machines are available to you at Conclave. Please have your temperature checked upon arrival into the event space. They will be located on the Sky Bridge. Thermal scanners are a contactless way to check your temperature. If you need further assistance, please ask one of the nearby Safety Ambassadors. Look for their red safety vests.

MedStar Solutions is providing optional rapid testing on Saturday from 10:00 a.m.–6:00 p.m. and Sunday from 8:00 a.m.–noon. Testing is located on the Sky Bridge. Please download the NAVICA (from Abbott Medical) app from the Apple Store or Google Play. For additional instructions, please visit the testing location on the Sky Bridge and a tester will help guide you.

Conclave has worked closely with the Sheraton Dallas Hotel to implement cleaning and sanitization standards that meet or exceed the recommendations of the CDC. It is the responsibility of everyone to maintain personal hygiene, including washing hands frequently. Hand sanitizing stations will be available throughout Conclave.

Sheraton Dallas Hotel’s Commitment to Clean

As a Marriott property, the Sheraton Dallas Hotel follows guidance from the Marriot Cleanliness Council, including:

  • Your room will be fully cleaned and sanitized before you arrive. Additional housekeeping is available during your stay, upon request
  • All staff will be masked at all times
  • All food and beverage conference servers will be masked and gloved
  • Marriott properties utilize hospital-grade disinfectants in public spaces and guest rooms

From the Conclave module within the AGS Go app, you’ll be able to check into your breakout sessions. Each session has a unique four-digit code, which can be found on signage at the session, on the session’s details page in the app, or the Educational Sessions booklet. Using the unique four-digit code will help us track attendance should contact tracing be necessary. Check-ins can be done in the Conclave module through the “Check-in” icon or on the session’s details page.

Conclave room layouts have been modified to enable social distancing and designed to minimize potential exposure opportunities. Food and beverage service has also been modified based on COVID-19 protocols.

Have a heart: stay apart! All seating has been adjusted for increased social distancing, but for those who would feel more comfortable with a bit more distance, look for signs. These are areas where there is an opportunity to have more space between you and others. Look for the ❤️ around Conclave.

The American Gem Society (“AGS”) is committed to providing a safe, productive, and welcoming environment for all participants in events held or sponsored by AGS. AGS will communicate preventative measures to reduce the spread of COVID-19 in advance and during the event. However, AGS cannot guarantee that its members, volunteers, partners, or others in attendance will not be exposed or become infected with COVID-19. In light of the ongoing spread of COVID-19, individuals who fall within a high-risk category may want to refrain from attending in-person events.

FREQUENTLY ASKED QUESTIONS:

If you are unable to attend due to COVID-19, please submit your request to either roll over your registration to the 2022 Conclave, or request a refund. The 2022 Conclave will take place April 25–27 in Oklahoma City, OK.

Proof of vaccination or negative COVID-19 tests are not currently required in order to attend Conclave. 

We are fully committed to creating an environment where the AGS community can get back to business while prioritizing health and safety. Our current health and safety guidelines include wearing face coverings, increased sanitation, hygiene, and physical distancing as well as additional staff to support implementation. We are also working closely with Sheraton Dallas Hotel to follow their protocols. Guidelines will continue to evolve leading up to Conclave to reflect current guidance.

Yes. To ensure the maximum safety of our attendees, we are following the CDC guidelines on face coverings. We require all individuals to wear face coverings while attending events relating to Conclave. Additional details and guidelines on acceptable face coverings can be found here.

Everyone is expected to fully comply with all health and safety guidelines. Acknowledging the guidelines and agreeing to comply is a requirement of entry (see the COVID-19 Safety Acknowledgment above). We will have specially-designated Safety Ambassadors walking the event to ensure all guidelines are being followed, including wearing face coverings.
